Running a committee on WhatsApp, and what it cannot do

Nearly every committee has a WhatsApp group, and nearly every committee has lost a payment inside one.

What WhatsApp is good at

• Everyone is already there. No new app, no new number to collect.
• A reminder reaches people within minutes.
• Sending a screenshot of a transfer takes two taps.

What it cannot do

• There is no list. Twenty screenshots in a group is not a record of who has paid; it is twenty screenshots.
• It scrolls. By month three, month one is unreachable without a great deal of scrolling.
• Nothing is by month. A receipt sent on 3 November might be for October. The chat does not know that.
• No status. "Who hasn't paid?" can only be answered by reading everything.
• Media expires. Phones are changed, chats are cleared, and old images stop opening.

Using both

The arrangement that works: the group stays exactly as it is for conversation and reminders. The record lives somewhere it can be read as a list, and the link to it is pinned in the group. Members send their payment through the record so the receipt lands attached to the right month, and the group goes back to being a group.

Reminders that do not annoy

The most effective reminder is not a message at all — it is a status everyone can already see. When the list is visible, most late payers notice before anybody has to say anything. Where a message is needed, one private message beats a group announcement every time.
